Privacy Policy

This Privacy Policy explains how Metro Point Technology LLC collects, uses, stores, shares, and protects information when people use MyDeacon, our related websites, and related services.

1. Scope

This policy applies to:

  • MyDeacon and related web properties
  • account registration and administration
  • customer support interactions
  • onboarding, billing, and service communications
  • information submitted by church staff, leaders, and website visitors

2. Information We Collect

Information you provide directly:

  • name, church or organization name, job or ministry title
  • email address and mobile phone number
  • mailing or church address
  • login credentials
  • messages, tasks, plans, requests, and support tickets
  • billing and transaction information

Information collected automatically:

  • IP address, browser type, device and operating-system information
  • pages viewed and actions taken in the app
  • date/time stamps and usage logs
  • cookie and session data

Information created through use of the service:

  • text and voice communications between MyDeacon and staff
  • meeting audio recordings and transcripts (when a church uses the meeting feature), and the recaps and tasks generated from them
  • data synced from a church's Planning Center, such as people, follow-ups, and attendance

3. How We Use Information

We use information to:

  • provide, operate, maintain, and improve MyDeacon
  • create and manage accounts and authenticate users
  • send staff their daily plans and reminders and handle the work they ask for
  • sync with a church's Planning Center and keep tasks current
  • transcribe and summarize meetings a church chooses to record
  • process transactions and send billing notices
  • respond to support requests, and send administrative and security updates
  • monitor usage, performance, and reliability, and prevent fraud and misuse
  • comply with legal, regulatory, and audit obligations, and enforce our agreements

4. AI Processing

MyDeacon uses AI model providers to understand messages, draft replies, and summarize calls and meetings. Content needed for these features may be sent to those providers to generate a response. We work with providers that process this content to provide the feature and do not use it to train their general models, consistent with their terms.

5. How We Share Information

We do not sell personal information. We may share information with:

  • service providers that help us host, operate, support, or secure the service — including Planning Center, telephony and messaging providers, AI model providers, meeting-transcription providers, email providers, payment processors, and cloud hosting
  • professional advisors, including legal, accounting, and compliance advisors
  • law enforcement or regulators when required by law or to protect rights, safety, and property
  • a successor in connection with a merger, acquisition, financing, or asset sale

We require providers handling information on our behalf to use it only for authorized purposes and to protect it appropriately.

6. Each Church's Data Is Kept Separate

MyDeacon is multi-tenant: every church's data is walled off from every other church's. When a church uses MyDeacon to store or process information about its own staff, members, or contacts — including anything synced from that church's Planning Center — MPT generally acts as a service provider (processor) for that data, and the church is responsible for providing notices, obtaining consents where required, and determining lawful use.

7. Cookies and Similar Technologies

We use cookies, local storage, and similar technologies to keep users signed in, remember preferences (such as light or dark mode), analyze usage, and improve performance and security. You may control cookies through your browser, but disabling them may affect functionality.

8. Data Retention

We retain information for as long as reasonably necessary to provide the service, maintain business and financial records, resolve disputes, enforce agreements, and comply with legal, tax, and audit requirements. Meeting recordings and transcripts are retained per the church's settings and applicable law. Retention periods vary by data type and purpose.

9. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, and disclosure, including per-church data separation and encryption of sensitive stored credentials. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Your Rights

Depending on your jurisdiction, you may have rights to request access to, correction of, or deletion of personal information (subject to legal and contractual limits), to object to or restrict certain processing, to request portability, and to withdraw consent. To make a request, contact us below; we may need to verify your identity first.

11. Children's Privacy

MyDeacon is intended for church staff and administrative use and is not directed to children, and we do not knowingly collect personal information directly from children through the service. A church's Planning Center data may include information about minors (for example, in youth or children's ministry). For that data the church is the controller; MyDeacon processes it only to provide the service to that church.

12. International Transfers

If information is processed outside your state, province, or country, we will take reasonable steps to ensure appropriate protections consistent with applicable law.

13. Third-Party Services

The service integrates with and links to third-party services, such as Planning Center. We are not responsible for the privacy practices of third parties; please review their policies separately.

14. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date and may provide additional notice where appropriate.
